GradLeaders Quick Guide: Office Hours Module
The Office Hours module streamlines the process for hosting and attending 1-on-1 or small-group career conversations between employers and candidates. It supports in-person, virtual, or hybrid setups, and provides automated scheduling tools for a smooth experience.
1. Employer Request
- Employers submit an Office Hours request through the GradLeaders platform.
- Request includes:
- Event title, description, and purpose.
- Date(s), time range, and time slot length.
- Attendance type (In-Person, Virtual, or Hybrid).
- Desired candidate profile and any prerequisites.
- Maximum attendees per slot.
- Optional: Multiple schedules for multiple interviewers within the same event.
2. Administrative Review & Approval
- Career center administrators review the submitted request.
- Admins can:
- Approve or reject the request.
- Edit event details, including slot times, attendance type, and multiple interviewer schedules.
- Set resume requirements.
- Publish the event for candidate signup.
3. Candidate Signup Process
- Once published, candidates can:
- View available time slots across all schedules.
- Select their preferred slot.
- Upload a resume during registration.
- Slots fill on a first-come, first-served basis during the signup period.
4. Waitlist & Auto-Promotion
- If all slots are filled, candidates can join a waitlist.
- If a registered candidate cancels:
- The auto-promotion feature moves the first waitlisted candidate into the slot.
- An automated confirmation email is sent to the promoted candidate.
5. Event Execution
- Employers meet with candidates at their scheduled time.
- For Virtual or Hybrid events:
- Video meeting links are included in candidate confirmation emails. Embedded video functionality is included right on the event page.
- Admins can monitor attendance and manage last-minute changes through the platform.
- Multiple interviewer schedules allow different recruiters to host simultaneous candidate conversations.
